Description
We are seeking a dedicated and detail-oriented Assistant Reservations Manager to oversee the reservations process, including advanced room bookings and group coordination services. This role involves maximizing revenue, enhancing the guest experience, and managing the reservations team to ensure smooth operations and adherence to service standards. You will also act as the Reservations Manager in their absence, contributing to the overall efficiency and profitability of the hotel.
Responsibilities and Duties
• Assist in maximizing hotel revenue through effective use of systems, processes, and company specifications. • Collaborate with the Reservations Manager to engage with OTAs and external partners when required. • Monitor daily group reservation activities and update the sales department on status. • Follow up on tentative sales bookings with relevant sales staff to confirm or update details. • Promote and manage loyalty programs such as hotel rewards and membership programs for guests. • Ensure efficient and professional handling of all internal and external communications in line with brand standards. • Address guest requests courteously, monitor progress, and ensure follow-up through appropriate channels. • Communicate room occupancy fluctuations to operations for effective staffing adjustments. • Oversee the daily activities of the reservations team, including scheduling and task assignment. • Train, manage, and motivate the team to deliver high-quality service and meet departmental targets. • Support the Reservations Manager in supervising team performance and implementing the performance management cycle. • Ensure all team members are well-trained on systems, service standards, and equipped with necessary tools. • Develop and implement reservation standard operating procedures (SOPs). • Maintain records and reports on room availability, guest commitments, and weekly occupancy forecasts. • Keep historical records of arrivals, cancellations, and denials to improve future reservations forecasting. • Assist Reservation Agents during peak periods and perform other duties as assigned.
Qualifications and Requirements
• Minimum of two years of experience in reservations or front office roles, including supervisory responsibilities. • Diploma or Bachelor’s degree in Hotel Management, Business Administration, or related field preferred. • Proficiency in Opera system is required. • Fluency in English, both spoken and written. • Availability to work weekends and evenings (no night shifts required). • Experience in an international hotel chain is an advantage.
