Description

The Reservations Executive manages the reservation process, ensuring accurate data entry and regular database updates. They provide prompt and efficient service, maintaining high standards for guest pre-arrival experiences. This role involves processing reservations, monitoring room availability, and ensuring billing policies are followed. The executive also handles no-show and cancellation charges, supports the Sales team with room availability, and conducts daily arrival checks, including VIP guest reviews. Other duties may be assigned as needed.

Responsibilities and Duties

Manage the full reservation process and operate reservation systems efficiently. Provide prompt, courteous, and efficient service to ensure a high standard of pre-arrival experience for guests. Accurately enter reservation details and maintain an updated reservation database. Review reservations thoroughly prior to guest arrival. Stay informed about room availability and peak periods to optimize sales. Process reservation requests and confirm or regret bookings on the same day. Familiarize with billing and credit policies to handle billing requirements effectively. Maintain an organized filing system for easy access to correspondence. Manage no-show and cancellation charges. Advise the Sales team on room availability for their inquiries. Perform daily arrival checks and review VIP bookings. Undertake any additional duties as assigned.

Qualifications and Requirements

Minimum of 1 year experience in a reservations or customer service role. Proficient in using reservation systems and related software. Strong attention to detail and organizational skills. Excellent communication skills, both verbal and written. Ability to work independently as well as in a team. Strong multitasking abilities and the capacity to work efficiently under pressure. Good understanding of hotel policies, billing, and credit procedures. Ability to manage guest expectations and provide a high standard of customer service. Familiarity with upselling techniques and maximizing revenue opportunities. Flexibility to work weekends and holidays as needed. Strong problem-solving skills and a customer-oriented approach.
