Description

The Office Administrator will be responsible for supporting the smooth operation of daily office activities, ensuring that the workplace is well-organized, efficient, and inviting. Key duties include managing administrative tasks, coordinating office functions, overseeing office supplies, and assisting with internal and external communications. The ideal candidate will be proactive, highly organized, and possess excellent communication skills to effectively interact with team members and visitors.

Responsibilities and Duties

Office Coordination: Oversee the daily operations of the office, ensuring seamless coordination between departments to maintain a smooth workflow. Manage office schedules, meeting room bookings, and event logistics, while ensuring the office space remains clean, organized, and fully functional. Administrative Support: Respond to and direct phone calls, emails, and other inquiries in a timely manner. Handle office mail, including the receipt and dispatch of correspondence. Assist with document preparation, data entry, and filing, providing overall administrative support. Inventory and Supplies: Monitor and manage office supplies and equipment inventory, ensuring timely ordering and replenishment. Liaise with vendors and suppliers to guarantee the prompt delivery and maintenance of office resources and equipment. Record Keeping: Maintain accurate records of office-related expenses, employee attendance, and essential documents. Generate and update reports as required by management, ensuring all information is organized and up-to-date. Compliance and Safety: Ensure the office adheres to health and safety regulations, coordinating safety drills and updating emergency protocols. Maintain first-aid supplies and ensure compliance with safety standards to promote a safe work environment.

Qualifications and Requirements

* Experience: Over 2 years of experience in an administrative or office management position. * Software Proficiency: Familiar with office software such as Microsoft Office Suite and Google Workspace. Skills: * Strong organizational skills with the ability to manage multiple tasks simultaneously. * Exceptional written and verbal communication skills. * Keen attention to detail and effective problem-solving abilities. * Capable of working both independently and collaboratively within a team environment.
