Description
This role is vital for ensuring smooth and efficient hotel operations by effectively managing all aspects of the reservation process. The Assistant Reservations Manager will be responsible for handling guest inquiries, processing reservations, and supporting the implementation of revenue management strategies. This position requires a highly organized and customer-oriented individual with strong communication and interpersonal skills.
Responsibilities and Duties
* Handle incoming phone calls from guests, providing accurate information and addressing inquiries professionally. * Observe and guide reservations staff on proper call handling procedures. * Ensure individual staff members adhere to established work procedures. * Process individual and group reservations, including handling booking requests, chasing confirmations, and managing rooming lists. * Conduct daily arrival checks for upcoming reservations to anticipate and address any potential issues. * Verify guest creditworthiness in collaboration with the accounting department. * Process guest deposits and maintain accurate records. * Develop and maintain an efficient administrative system, including record-keeping, filing, and guest history. * Build and maintain strong relationships with business suppliers. * Forward sales leads to the Sales department for further action. * Ensure a high level of service quality that consistently meets the expectations of both guests and internal customers. * Assist in supervising the work of Reservations Officers. * Oversee daily reservations activities and operations. * Follow instructions from the Reservations Manager and Assistant Reservations Manager regarding room selling strategies and revenue management initiatives.
Qualifications and Requirements
* Certificate or Diploma in Hotel Management or a related field. * Minimum of 2 years of experience as a Property Reservations Assistant in an international-class hotel, or a strong foundation in reservations within a similar environment. * Excellent communication and interpersonal skills with a strong customer service orientation. * Strong organizational and time management skills with the ability to multitask effectively. * Proficiency in using hotel property management systems (PMS). * Basic understanding of sales and financial principles. * Ability to work effectively both independently and as part of a team. * Articulate and ambitious with a positive and professional demeanor. * Possess good humor and empathy towards both guests and colleagues. * A strong work ethic and a commitment to providing excellent service. * Ability to maintain a high level of energy and enthusiasm throughout the workday.
