Description
We are looking for a Reservation Agent to efficiently record and process reservation inquiries received via phone, fax, or email. The role involves converting inquiries into sales, meeting hotel targets, and maintaining a high level of customer satisfaction. The ideal candidate will possess strong communication skills, attention to detail, and the ability to uphold the company’s commitment to service excellence.
Responsibilities and Duties
- Use up-selling and suggestive selling techniques to promote hotel products and services. - Prepare and execute action plans to increase reservation sales and associated revenue. - Record and manage special billing arrangements for groups and conventions. - Maintain in-depth knowledge of hotel products, services, and promotions within the region. - Record and process reservations made via phone, fax, or email and manage waitlist inquiries. - Process reservation changes, such as extensions and early departures. - Ensure consistent application of special rates, offers, and promotions. - Manage “no-show” reservations by investigating and documenting occurrences. - Monitor reservation levels and inform managers of current and forecasted occupancy rates. - Prepare reports as requested by management. - Maintain compliance with health and safety policies, including awareness of fire, first aid, and emergency procedures. - Report security incidents and hazardous situations to supervisors. - Participate in training sessions to stay updated on hotel and reservation processes. - Adhere to the company’s code of conduct and collaborate with team members to achieve shared goals. - Assist with daily shared tasks, including arrival report checks, reservation reviews, and responding to emails. - Demonstrate awareness of health and safety guidelines and ensure adherence to all relevant procedures. - Take proactive steps to identify and correct hazardous situations.
Qualifications and Requirements
- High school diploma or vocational certificate in Hotel Management, Business Administration, or related field. - At least one year of experience in reservations, front office, or a similar role; supervisory experience is an advantage. - Proficiency in computer applications and reservation systems. - Strong organizational, problem-solving, and training skills. - Demonstrated ability to interact professionally with customers, employees, and third parties. - Commitment to maintaining a positive and customer-focused work environment.
