Description
This role provides comprehensive support to both HR and administrative functions, encompassing recruitment, onboarding/offboarding, record maintenance, work pass management, general office administration, contract renewals, inventory control, and employee development coordination.
Responsibilities and Duties
* Support daily HR operations, including onboarding new hires, managing offboarding processes, and preparing various HR-related correspondence (e.g., new hire letters, confirmation letters, promotion letters, resignation acceptance letters, and warning letters). * Communicate new hire and resignation details to external payroll/HR service providers. * Maintain employee files, ensuring all necessary documents are complete and filed in both physical and digital formats. * Monitor and manage work pass applications, renewals, and cancellations. * Handle registration for relevant industry certifications and training courses. * Manage the registration and de-registration of employee biometric clock-in/out access across all work locations and mobile applications. * Update insurance providers regarding new hires and resignations. * Maintain and update organizational charts. * Conduct new employee orientations and manage exit clearance procedures for departing employees. * Provide support for general office administration and daily operations. * Monitor and manage the renewal of organizational contracts for purchases and services, such as equipment maintenance, retail space leases, insurance policies, pest control services, and software licenses. * Source and procure new equipment as needed. * Manage and maintain inventory of office supplies, pantry items, and cleaning supplies. * Research and identify appropriate training courses for staff, manage course registration and payment processes, and submit grant applications, following up on their status. * Support organizational and staff events, such as annual outings. * Undertake other ad-hoc tasks and HR projects as assigned by management.
Qualifications and Requirements
* Minimum of two years of experience in HR. * Strong understanding of HR principles, practices, employment legislation, and labor laws. * Experience in payroll and compensation administration. * Ability to work independently and maintain a high level of integrity. * Adaptability to change and the ability to work effectively in a fast-paced environment. * Strong organizational skills and meticulous attention to detail. * Effective communication and interpersonal skills.
