Description

The Reservations Executive is responsible for monitoring daily reservation activity and coordinating with the Sales Department to ensure accurate and up-to-date booking information. This role involves managing tentative sales bookings, ensuring the timely release of room blocks, and accurately inputting rooming lists into the PMS system. The executive is also responsible for coordinating special requests, following up on no-shows, and maintaining strong relationships with all hotel departments. The Reservations Executive plays a key role in enhancing guest satisfaction, maximizing hotel profitability, and providing timely updates on room inventory and reservation trends. Additionally, the role requires attention to detail, proactive communication, and a focus on operational efficiency.

Responsibilities and Duties

* Monitor reservation activity and update the Sales Department on status. * Follow up with Sales Managers on tentative bookings to confirm details. * Ensure accurate file management and up-to-date records. * Coordinate with clients to obtain rooming lists and manage attrition policies. * Release room blocks to general inventory after cut-off dates or cancellations. * Accurately input rooming lists into the PMS system. * Pre-block rooms for special requests and manage no-shows and non-arrival charges. * Collaborate with hotel departments to maintain smooth operations and guest satisfaction. * Monitor room inventory and inform the Reservations Manager of high or low demand dates. * Maintain a positive attitude, contribute to team efficiency, and suggest ideas for department improvements. * Provide guests with up-to-date and accurate information at all times. * Ensure maximum guest satisfaction through recognition and prompt attention. * Stay updated on reservation trends and forecasts for current and future dates. * Attend meetings as required and maintain a strong understanding of PMS operations.

Qualifications and Requirements

* Diploma in Tourism or Hospitality Management. * At least 2 years of relevant experience with a proven track record in a similar role. * Strong proficiency in reading, writing, and speaking English. * Skilled in MS Excel, Word, and PowerPoint.
