Description
This role is vital for ensuring smooth and efficient guest reservations while maximizing revenue for the hotel. The Reservations Agent will be responsible for handling all aspects of the reservation process, from initial guest inquiries to final confirmation. This position requires a highly organized and customer-oriented individual with excellent communication and interpersonal skills.
Responsibilities and Duties
* Handle all incoming reservation inquiries via phone, email, and other channels. * Accurately record reservation details, including guest information, room preferences, special requests, and payment details. * Process reservations efficiently and accurately within the hotel's reservation system. * Provide guests with accurate and up-to-date information on room availability, rates, promotions, and hotel amenities. * Build strong rapport with guests by providing excellent customer service and addressing their inquiries and concerns promptly and professionally. * Proactively identify opportunities to upsell services and maximize revenue per booking. * Communicate effectively with guests regarding reservation policies, payment procedures, and any relevant information. * Maintain a thorough understanding of the hotel's offerings, including room types, rates, promotions, and facilities. * Liaise with the Sales and Front Office teams to coordinate room bookings and ensure smooth guest arrivals. * Ensure all reservation records are maintained accurately and completely, including catering requirements, guest preferences, and booking supplements. * Perform other administrative tasks as assigned.
Qualifications and Requirements
* High School Diploma or equivalent. A Diploma in Hospitality Management or a related field is a strong advantage. * Prior experience in a customer service or reservations role within the hospitality industry is preferred. * Strong verbal and written communication skills with exceptional phone etiquette. * A strong customer-centric approach with a focus on providing exceptional guest service and exceeding expectations. * Excellent organizational and time management skills with the ability to multitask and prioritize tasks effectively. * Proficiency in Microsoft Office Suite and experience with hotel Property Management Systems (PMS) such as Opera Cloud is a plus. * Meticulous attention to detail and accuracy in all tasks, including data entry and record-keeping. * Strong work ethic and the ability to work independently and as part of a team. * Flexibility to work a variety of shifts, including evenings, weekends, and holidays.
