The General Office Clerk is responsible for providing essential administrative support, which includes managing files, scheduling appointments, and handling correspondence. This role involves accurately entering and updating data in databases to maintain data integrity, as well as preparing and maintaining various documents and reports required by the department. The clerk also assists customers by answering inquiries, providing information, and resolving issues. Additionally, the position involves helping with inventory management by tracking supplies and placing orders as needed. Maintaining an organized and efficient office environment is key, ensuring that supplies and equipment are readily available. Responsibilities and Duties
* Administrative Support: Deliver general administrative assistance by managing files, scheduling appointments, and handling correspondence. * Data Entry: Accurately input and update information in databases and computer systems, ensuring the integrity of the data. * Documentation: Prepare and maintain a variety of documents, reports, and records as needed by the department. * Customer Service: Provide support to customers or clients by addressing inquiries, offering information, and resolving issues as required. * Inventory Management: Assist in maintaining inventory records by tracking supplies and placing orders when necessary. * Office Organization: Ensure the office remains organized and efficient by making sure that supplies and equipment are readily accessible. * Team Collaboration: Collaborate effectively with team members and support various projects as needed.
Qualifications and Requirements
* High school diploma or equivalent; additional qualifications in office administration or relevant field are a plus. * Previous experience in an administrative role is preferred. * Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and data entry software. * Strong attention to detail and ability to maintain data integrity. * Excellent organizational skills and ability to manage multiple tasks effectively. * Good written and verbal communication skills for customer service and team collaboration. * Proactive and adaptable with a strong problem-solving mindset. * Ability to work independently as well as part of a team. * Strong interpersonal skills to interact with clients and colleagues. * Familiarity with office equipment (printers, scanners, fax machines) and inventory management practices is advantageous.
