Description
The Data Entry Assistant is responsible for transferring data from paper to digital formats, ensuring accuracy by verifying against source documents, and updating existing records. This role includes creating and managing spreadsheets, retrieving data from databases, and performing regular data backups to safeguard information. The assistant also handles various administrative tasks, such as organizing files, managing communication through emails and phone calls, scheduling appointments, and greeting visitors. Additionally, the role involves reviewing invoices for accuracy and providing support to the HR Manager with HR and administrative duties, all while fostering a collaborative office environment. Responsibilities and Duties
* Convert data from paper documents into digital files or database systems using keyboards, data recorders, or optical scanners. * Provide support for various administrative tasks as needed. * Create spreadsheets with large quantities of figures, ensuring accuracy. * Verify data by cross-referencing it with source documents. * Update existing records as necessary. * Retrieve data from databases or electronic files upon request. * Conduct regular backups to ensure the preservation of data. * Sort and organize paperwork after data entry to prevent loss. * Welcome visitors, guide them as needed, and respond to inquiries to foster a friendly environment. * Organize and maintain files and databases confidentially. * Manage communications, including emails and phone calls. * Screen and redirect phone calls, taking messages when necessary. * Schedule appointments, meetings, and reservations as required. * Receive and review invoices for accuracy. * Assist the HR Manager with various HR and administrative tasks. * Collaborate effectively as a team member in an office setting.
Qualifications and Requirements
* High school diploma or equivalent education. * 1-2 years of experience in clerical, secretarial, or office roles. * Proficient in computer skills, particularly with Microsoft Office. * Strong verbal and written communication abilities. * Additional certifications are a plus. * Exceptional attention to detail. * Experience in data entry. * Familiarity with general office equipment.
