Description

The HR Assistant supports the HR Director, Asia, in managing a range of administrative, IT, and HR tasks to ensure smooth office operations. This role involves coordinating office maintenance, managing supplies, and overseeing the security and confidentiality of office operations. Key responsibilities include assisting with office technology and equipment, liaising with contractors and vendors, supporting recruitment activities, and covering IT administrative tasks during the IT Administrator’s absence. The HR Assistant plays a vital role in maintaining office functionality, enhancing efficiency, and contributing to a professional workplace environment.

Responsibilities and Duties

* Reports directly to the HR Director, Asia. * Provides support across various IT, administrative, and HR tasks to ensure the office's functionality and professional appearance. * Assists with the maintenance of the office environment, including managing and deploying technology and equipment. * Coordinates office repairs, handles phone calls, and collaborates with external contractors and vendors as needed. * Assumes IT administrative responsibilities in the absence of the IT Administrator. * Maintains office security and confidentiality, including managing door access cards and overseeing the secure disposal of confidential documents. * Manages and monitors supply inventory (e.g., office and pantry supplies, printer toner, business cards, and software), including processing purchase orders. * Handles incoming and outgoing mail, including sorting mail and preparing shipments. * Supports recruitment processes, such as updating candidate databases and arranging interviews. * Performs other ad hoc tasks as assigned.

Qualifications and Requirements

* A minimum of a Diploma qualification is required. * A Bachelor’s Degree in Human Resources Consulting or a related field, with at least 1 year of broad HR experience, is preferred. * Experience in HR and administrative functions is an advantage. * Proficient in Microsoft Office, particularly Word and Excel. * Strong administrative skills with excellent attention to detail. * Meticulous, organized, resourceful, self-motivated, and demonstrates high professional integrity. * Well-presented with a professional demeanor. * A collaborative team player.
