Description
We are looking for a detail-oriented and proactive Purchasing & Data Entry Clerk to support inventory management and procurement processes. Key responsibilities include updating inventory counts, maintaining accurate records of purchases (including prices, quantities, and delivery dates), and conducting market research to identify new suppliers and trends. The role also involves monitoring stock levels, coordinating with the warehouse team to maintain optimal inventory, and assisting in budget development and cost-saving initiatives. Additionally, the clerk will prepare regular reports on purchasing activities to support management decision-making.
Responsibilities and Duties
Maintain and update inventory counts, ensuring accurate records are shared with management and other stakeholders. Keep precise and up-to-date purchase records, including prices, quantities, and delivery dates, ensuring all information is easily accessible for reference and reporting. Conduct market research to identify new suppliers, products, and technologies, staying informed on market trends, price fluctuations, and industry regulations to make well-informed purchasing decisions. Monitor inventory levels, anticipate future needs, and collaborate with the warehouse or inventory team to ensure optimal stock levels. Address potential stock shortages or surpluses as necessary. Assist in creating and managing departmental budgets, ensuring purchasing activities align with financial guidelines and identifying cost-saving opportunities to optimize procurement processes. Prepare regular purchasing reports, covering expenditures, savings, and supplier performance, to provide valuable insights for management's decision-making.
Qualifications and Requirements
Strong attention to detail with the ability to accurately process and maintain records and documents. Ability to handle multiple tasks simultaneously and prioritize work effectively. Clear and professional communication skills with suppliers, vendors, and internal stakeholders. Proven experience in negotiating favorable terms, conditions, and prices with suppliers. Strong research and analytical skills to make informed purchasing decisions. Experience with procurement software and systems for managing orders, tracking inventory, and generating reports. Familiarity with procurement policies, procedures, and industry standards. Problem-solving skills to address purchasing issues such as delivery delays or quality concerns.
