Description
This role is essential for providing exceptional guest service and ensuring smooth hotel operations. The Reservation Agent will be responsible for handling all aspects of guest reservations, from initial inquiry to confirmation and arrival. This position requires a highly organized and customer-oriented individual with excellent communication and interpersonal skills.
Responsibilities and Duties
* Process reservations received through various channels, including phone calls, emails, and online booking systems. * Process reservations from sales offices, other departments, corporate clients, and travel agencies. * Provide accurate and up-to-date information on room availability, rates, and hotel amenities. * Offer appropriate room types and packages, and effectively address guest inquiries and concerns. * Create and maintain accurate reservation records, including date of arrival, guest information, and special requests. * Determine and apply appropriate room rates based on hotel pricing strategies. * Prepare and issue confirmation letters to guests. * Process cancellations and modifications promptly and effectively communicate changes to relevant departments. * Ensure compliance with hotel policies regarding guaranteed reservations and no-shows. * Track future room availability based on reservations to optimize occupancy and revenue. * Assist in pre-registration activities as needed. * Handle daily correspondence, responding to inquiries and processing reservations as required. * Maintain accurate and up-to-date reservation files. * Ensure a clean and organized workspace. * Promote a positive and welcoming environment by being courteous, friendly, and helpful to guests, colleagues, and managers. * Communicate effectively with the front desk and other relevant departments to ensure smooth guest arrivals. * Adhere to all hotel policies and procedures, including health and safety guidelines, fire safety protocols, and bomb threat procedures. * Be willing to assist with other tasks as assigned by management within the hotel.
Qualifications and Requirements
* Diploma in Tourism and Hospitality Management or a related field. * Minimum of one year of experience in a reservations or customer service role within the hospitality industry. * Strong verbal and written communication skills with the ability to build rapport and effectively interact with guests. * A strong customer-centric approach with a focus on providing exceptional guest service and exceeding expectations. * Excellent organizational and time management skills with the ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment. * Meticulous attention to detail and accuracy in all tasks, including data entry and record-keeping.
