Description
The Human Resource Officer is responsible for managing HR operations, including maintaining attendance records, leave management, and medical reimbursements. The role involves updating staff biodata in the payroll system, ensuring proper document retention, and handling employee inquiries, particularly regarding foreign workers and insurance. Key duties include job advertising, screening candidates, coordinating interviews, preparing offer letters, and conducting onboarding programs. The officer will also manage employee files, address disciplinary issues, support employee welfare, liaise with authorities on statutory matters, and oversee foreign worker permit renewals.
Responsibilities and Duties
Ensure accurate and timely entry of attendance, leave management, and medical reimbursements. Register and update staff biodata in the payroll system. Adhere to document retention policies and ensure proper documentation of leave forms, overtime forms, etc. Manage employee inquiries, particularly regarding foreign worker issues, insurance, and administrative initiatives, in a timely manner. Handle job advertising and candidate screening. Coordinate interview schedules with hiring managers. Prepare offer letters, Letters of Appointment, and brief new hires on employment terms and HR policies. Conduct and coordinate a comprehensive onboarding program for new hires. Ensure personal files for all staff, including new hires and confirmed employees, are complete with necessary documents. Assist in handling employee disciplinary issues and grievances, providing advice, counseling, or taking disciplinary action as per company policies. Support general administrative tasks related to employee welfare and HR operations, including liaising with local authorities on statutory and labor matters. Oversee the yearly renewal of foreign worker permits and ensure management is promptly notified.
Qualifications and Requirements
Minimum education level: Diploma or higher. Preferably with relevant HR work experience or related studies. Strong computer skills are required. Excellent attention to detail, with strong planning, organizational, and administrative abilities. Ability to multitask, self-motivated, independent, meticulous, and disciplined. Fresh graduates are encouraged to apply.
