Description

This multi-faceted role provides support for both HR and administrative functions, with a focus on payroll and attendance, recruitment, compensation and benefits administration, and general office operations. The individual will work closely with external partners to ensure efficient and compliant HR processes.

Responsibilities and Duties

* Ensure timely submission of payroll and leave data updates to the external payroll processing partner. * Review payroll reports prepared by the external partner before management approval for salary payments and social security contributions. * Support daily HR operations, including onboarding and offboarding employees, and preparing various HR-related documents (e.g., new hire letters, confirmation letters, promotion letters, resignation acceptance letters, warning letters). * Provide updates to the external partner regarding new hires and departing employees. * Maintain employee records and ensure compliance with relevant regulations and internal policies. * Maintain employee files, ensuring all necessary documentation is complete and accessible. * Stay informed about changes in employment laws and regulations to ensure ongoing compliance. * Manage employee biometric clock-in/out system access across all work locations and mobile applications. * Administer the filing of annual income tax forms and tax forms for departing employees, ensuring accurate reporting. * Review and approve employee leave requests and claims on a weekly basis, verifying supporting documentation as needed. * Collaborate with external HR partners regarding reservist leave, maternity/childcare leave, and insurance claims, ensuring timely and accurate submissions and processing. * Work with the external partner on matters related to annual leave carryover and forfeiture. * Provide support for general office administration and daily operations. * Monitor and manage the renewal of organizational contracts for purchases and services, including equipment maintenance, retail space leases, insurance policies, pest control services, and software licenses. * Source and procure new equipment as needed. * Collaborate with the external partner to improve existing processes. * Research and identify relevant training courses for staff, manage course registration and payment processes, submit grant applications, and monitor their status. * Manage office supply orders. * Support preparations for events such as new location openings, coordinating with contractors and scheduling training for relevant systems. * Support organizational and staff events, such as annual outings. * Undertake other ad-hoc tasks and HR projects as assigned by management.

Qualifications and Requirements

* Relevant diploma or degree is usually preferred. * Prior experience in HR and administrative roles is typically required. * Strong understanding of employment laws and HR best practices. * Excellent communication, interpersonal, and organizational skills. * Ability to handle confidential information with discretion. * Proficiency in relevant software applications, such as HR information systems and Microsoft Office Suite.
