Description

Reporting to the Director of Finance and Business Support, this role is responsible for administering the organization's credit policies, maximizing profitability by minimizing bad debt, and improving working capital. This involves managing accounts receivable, ensuring accurate financial reporting, and coordinating with various stakeholders.

Responsibilities and Duties

* Review the city ledger daily for accurate posting of charges and take corrective action when necessary. * Ensure prompt city ledger billing, payment posting, monthly statement distribution, and reconciliation of all accounts receivable balances (including credit card and payment method account balances). * Monitor and actively pursue collection of overdue accounts. * Review the bad debt listing monthly to prepare a collectability analysis for the monthly provision for doubtful debts. * Respond to and resolve account inquiries in coordination with the accounts receivable team. * Assist in controlling and collecting outstanding guest and city ledger accounts. * Prepare management reports for month-end analysis and provide documentation for credit meetings. * Review provisions, write-offs, and other adjustments prior to month-end. * Conduct monthly credit meetings with relevant team members, highlighting monthly performance, bad debts, outstanding staff accounts, and discussing any concerning accounts and follow-up actions. * Assist in maintaining and preparing accurate and timely financial and operating information, with a focus on the Aged Trial Balance of Accounts Receivable. * Collaborate with the supervisor in preparing and managing departmental financial reporting. * Report directly to and communicate with the Director of Finance and Business Support on all matters related to credit and collection of guest and city ledger accounts. * Cooperate, coordinate, and communicate with guests and other departments regarding credit issuance, follow-up on outstanding accounts, and assistance with credit-related needs. * Work closely with the City Ledger Supervisor in reviewing and maintaining the Aged Trial Balance of Accounts Receivable. * Collaborate with the supervisor on manpower planning and management requirements. * Monitor special billing arrangements for groups and conventions to ensure postings align with customer requirements. * Establish appropriate record-keeping and issuance procedures. * Ensure adherence to the organization's credit policy. * Assist in maintaining secure storage and access for all contracts, leases, and other financial records. * Maintain professional and technical knowledge and competence. * Assist in implementing and maintaining acceptable accounting practices and procedures as required by organizational policies, generally accepted accounting principles, and local conditions. * Demonstrate awareness of occupational health and safety (OH&S) policies and procedures and ensure all procedures are conducted safely within OH&S guidelines, ensuring direct reports do the same. * Maintain awareness of duty of care and adhere to occupational health and safety legislation, policies, and procedures. * Be familiar with property safety, first aid, and fire and emergency procedures and enforce these within assigned areas. * Take action to correct hazardous situations and notify supervisors of potential dangers. * Ensure security incidents and accidents are logged, investigated, and rectified to prevent future occurrences.

Qualifications and Requirements

* Bachelor’s degree or Diploma in Accounting, Finance, or a related field, with three years of experience in hotel accounting or auditing, or an equivalent combination of education and experience. * Demonstrated ability to interact effectively with customers, employees, and third parties in a manner that reflects positively on the organization and its brand. * Proficiency in Microsoft Office Suite. * Problem-solving, reasoning, motivational, organizational, and training skills. * Strong written communication skills. * Ability to quickly and accurately assess the scope of implementation for proposed innovations and stay current with industry trends and advancements. * A strong understanding and appreciation of brand standards. * A curious mindset with an understanding of innovation and guest experience, as well as the challenges associated with implementing change within operational environments. * Strong analytical and interpersonal communication abilities.
