Description

This role focuses on managing group room bookings and related functions, from initial inquiry to contract completion and payment. The individual will liaise with internal departments, conduct site inspections, manage client relationships, develop new accounts, and contribute to achieving sales targets. This role is within a collection of boutique hotels in Singapore.

Responsibilities and Duties

* Manage group room inquiries (for 10 or more rooms/people) and related processes, handling all aspects from initial request to contracting and payment. * Liaise with internal hotel departments to ensure efficient processing and conversion of group bookings. Maintain oversight of group room blocks, including occupancy rates, reservation methods, billing, and appropriate handling of VIP guests. * Manage site inspections, including organizing visits, allocating rooms for viewing, inspecting rooms, and coordinating with all relevant departments to showcase the hotel effectively and provide accurate information to visitors. * Communicate clearly and professionally, both verbally and in writing; prepare and review written documents for accuracy and completeness; answer telephones using appropriate etiquette. * Develop and maintain positive working relationships with colleagues; actively listen and respond appropriately to their concerns. * Meet and exceed individual sales goals and contribute to the team's achievement of the overall department sales budget. * Conduct a specified number of sales calls daily and sales activities (e.g., client entertainment, site inspections) weekly. * Identify and develop new potential accounts, prospecting a specified number of new accounts each week. * Develop sales plans to generate business from identified markets and accounts. * Determine the needs of corporate accounts and initiate appropriate sales activities to secure future bookings. * Consistently communicate the hotel's benefits and ongoing promotions to clients. * Manage and grow corporate accounts by tracking individual transient, group, and catering revenue goals. * Negotiate transient room rates for assigned accounts. * Prospect for new business through various methods, including phone calls, in-person sales calls, site inspections, industry events, sales blitzes, email marketing, and online research. * Gather market intelligence, including information on new product ideas, competitor activities, emerging customer trends, and performance data. * Ensure prompt follow-up on incoming phone calls, site inspections, proposals, and inquiries. Maintain accuracy in bookings and commitments to customers in all sales and operational documents, adhering to departmental standards for document execution and filing. * Contribute positively to the team, motivating colleagues to support departmental sales and operational goals. Manage and develop interdepartmental relationships while maintaining customer satisfaction, revenue generation, profitability, and positive team morale. Initiate team-building activities. * Adhere to professional standards of conduct, including appropriate grooming, responsiveness, accountability, responsibility, visibility, and punctuality. * Perform other duties as assigned by management in response to changing business needs, economic conditions, customer demands, or restructuring within the Sales & Marketing Department. * Take on additional leadership responsibilities as assigned.

Qualifications and Requirements

* A degree or diploma in Hospitality Management, Business Administration, Marketing, or a related field is often preferred. * Prior experience in hotel sales, preferably with group bookings, is usually required. * Strong communication, interpersonal, and negotiation skills. * Excellent organizational and time-management abilities. * Proficiency in relevant software applications, such as CRM and property management systems.
