Description
The Administrative Assistant will provide general administrative support, including preparing invoices, purchase orders, quotations, delivery orders, and other paperwork. Responsibilities include basic office tasks such as filing, data entry, and answering phone calls, as well as preparing HR documents like employment letters, contracts, warning letters, payslips, and memos. The role also involves handling construction workers' arrangements, including accommodation, leave applications, logistics, and assisting with work pass applications and renewals. Additionally, the assistant will prepare workers' attendance records, OT claims, and assist with purchase orders/requisitions and other assigned tasks.
Responsibilities and Duties
Provide general administrative support and assistance Prepare invoices, purchase orders, quotations, delivery orders, and other relevant paperwork Perform basic office tasks including filing, data entry, and answering phone calls Draft HR documents such as employment letters, contracts, warning letters, payslips, and memos Manage arrangements for construction workers, including accommodation, leave applications, and logistics Assist with the application and renewal of work passes and workers' training arrangements Prepare workers' attendance records, OT claims, and payslips Assist with handling purchase orders and requisitions Perform other duties as assigned by the Manager or superior
Qualifications and Requirements
Minimum of O-Level or equivalent qualification; Diploma in Administration or related field preferred Previous experience in administrative support, HR-related tasks, or similar roles is a plus Proficient in MS Office applications (Word, Excel, PowerPoint) Strong organizational skills with attention to detail and the ability to prioritize tasks Good communication skills, both written and verbal Ability to work independently as well as in a team Knowledge of construction industry processes or HR practices would be an advantage Comfortable handling sensitive information with confidentiality Ability to multitask and work under tight deadlines Willing to learn and take on new responsibilities as needed
