Description

This role is vital for providing exceptional support to students throughout their academic journey. The Student Affairs Officer will play a key role in ensuring a positive and enriching student experience by effectively managing student services, academic records, and program administration.

Responsibilities and Duties

* Serve as the primary contact for assigned programs, coordinating and ensuring the smooth delivery of all program activities. * Ensure timely setup of Learning Management System (LMS) course pages for each program. * Provide accurate and timely information and updates to students and relevant stakeholders. * Support lecturers with administrative tasks. * Release examination information to current students. * Monitor the validity of student visas for international students. * Organize and conduct orientation sessions for new students. * Prepare and disseminate information regarding class schedules and start dates. * Collaborate with academic advisors to address student issues and concerns. * Process student requests for re-enrollment, re-exams, deferments, extensions, exemptions, program transfers, and withdrawals. * Monitor student attendance, administer warning letters/exam barring letters, and generate monthly attendance reports. * Conduct regular class visits to understand student needs and engage with parents/guardians to provide updates on student progress. * Conduct module evaluations, focus groups, and student surveys to gather feedback and enhance student experience. * Provide support to students on utilizing the student portal, LMS, and other student support management systems. * Maintain accurate and up-to-date student records within the institution's data management system. * Monitor student course fee payments. * Process student refunds as per institution policies. * Liaise with the Examination Center for main and re-exams (as applicable). * Prepare examination roll sheets for the Examination Center. * Assist with the planning and execution of university-wide events, such as open houses and graduation ceremonies. * Perform other administrative duties as assigned by the supervisor.

Qualifications and Requirements

* Bachelor's degree in any discipline. * At least one year of relevant experience in a student services, administrative, or customer service role (preferred). * Meticulous and self-motivated with strong organizational and time-management skills. * Excellent written and verbal communication and interpersonal skills with a customer-oriented mindset. * Ability to effectively identify and resolve student issues and concerns. * Proficiency in data entry and management. * Proficient in Microsoft Office applications. * Ability to work independently and as part of a team. * Ability to work under pressure in a fast-paced environment. * Flexibility to work occasional evening shifts and weekends for university events (e.g., open houses, graduation ceremonies).
