Description

We are looking for an organized and proactive Admin Executive to support the technical team and ensure smooth project operations. The role involves coordinating with team members to update work progress, assisting the Technical Director in supervising the team, and ensuring adherence to guidelines. The Admin Executive will handle technical documents such as KPI reports, attendance tracking, training arrangements, and team org charts. Responsibilities also include calendar management, meeting arrangements, recording and distributing minutes, and preparing job status and project reports. Additionally, the role includes managing project logistics, purchasing PPE and other items, and handling customer feedback to maintain service excellence.

Responsibilities and Duties

Coordinate with technical team members to provide updates on work progress. Support the Technical Director in overseeing the technical team and ensuring adherence to guidelines. Monitor and update technical documents, including Team KPI reports, attendance records, training arrangements, and team org charts. Assist with calendar management, team meeting arrangements, and the recording and distribution of meeting minutes. Contribute to the development and distribution of job status reports. Support project time tracking and costing reports when needed. Manage all project logistics and facility requirements. Coordinate the purchase of PPE and wish list items through HR/Procurement. Effectively manage and address customer feedback and complaints. Ensure service excellence by maintaining high service levels for both internal and external customers and partners.

Qualifications and Requirements

Minimum of 2 years of experience in an administrative or coordination role, preferably in a technical environment. Strong organizational and multitasking skills, with the ability to manage multiple tasks and deadlines. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong communication skills, both written and verbal, with the ability to interact effectively with team members and clients. Attention to detail and ability to maintain accurate records. Experience in preparing and managing reports and documentation. Ability to handle sensitive information with discretion and professionalism. Strong problem-solving skills and the ability to manage customer feedback and complaints effectively. Ability to work collaboratively within a team and independently when required. Familiarity with project logistics and facility management is a plus. Proactive, service-oriented mindset with a focus on delivering high-quality service.
