Description

The Finance Executive is responsible for updating payments received from clients and processing supplier invoices, ensuring invoices are matched with purchase orders before payments are made. Key tasks include preparing cheques for suppliers, expenses, and petty cash reimbursements, generating creditor and debtor ageing reports, and assisting with monthly sales invoicing. The role involves ensuring timely bank deposits, monitoring debt collection, and sending reminders for overdue payments. Additional duties include supporting monthly financial reporting, preparing audit schedules, and liaising with auditors for year-end audits, as well as handling ad-hoc projects and reassigned duties as directed by the reporting manager.

Responsibilities and Duties

Update payments received from clients and all supplier invoices. Ensure supplier invoices are verified and matched with purchase orders before processing payments. Prepare cheques for suppliers, expenses, and petty cash reimbursements as needed. Generate creditor ageing reports and provide up-to-date costing reports for management review. Assist in preparing monthly sales invoices. Ensure all receipts and cheques are promptly deposited into the bank on a daily basis. Update the system with payments received from clients promptly. Monitor debtor ageing closely and ensure timely collection of outstanding debts. Generate debtor ageing reports for management review. Prepare and send monthly statements of accounts to clients. Issue reminder letters to customers with overdue payments as required. Highlight and advise management on any doubtful debts. Assist in monthly financial reporting, closing, and analysis for the company and job sites. Prepare year-end audit schedules and coordinate with auditors for the year-end audit. Handle any ad-hoc projects as assigned. Duties may be reassigned at the discretion of the reporting manager.

Qualifications and Requirements

Higher Nitec in Accounting or a related field. At least 3 years of relevant work experience. Experience with SAP is preferred. Prior experience in Accounts Payable is an advantage. Self-motivated, diligent, responsible, and detail-oriented. Strong interpersonal and negotiation skills.
