Description

The Accounts Assistant will be responsible for key accounting functions, including entering data into IFS, handling bank reconciliations, revaluating AR/AP, and updating the monthly consolidation cashbook. The role involves managing AP payments in multiple currencies, preparing AR and AP reports, issuing statements of account, and handling debit/credit notes. Additionally, the Accounts Assistant will maintain the monthly closing schedule, prepare sales margin reports, assist in audits by sending AR and AP balance confirmations, and prepare quarterly GST reports for review. Familiarity with IFS accounting software and strong attention to detail are essential for this role.

Responsibilities and Duties

Enter all accounting data into IFS, including transferring sales and purchase invoices from the Just system (experience with IFS software is a plus). Perform bank reconciliation, revaluation of AR/AP, and update the monthly consolidation cashbook. Manage AR/AP processes, ensure prompt closing of monthly accounts, and prepare journal vouchers for review. Maintain the monthly closing schedule. Prepare sales margin reports. Process all AP payments in USD, SGD, and Euro. Prepare AR and AP reports and send statements of account (SOA). Prepare debit and credit notes. Submit declarations to the bank. Support audit activities and send AR and AP balance confirmations to suppliers and customers. Prepare quarterly GST returns for review.

Qualifications and Requirements

Diploma in Accounting, Finance, or a related field. At least 1-2 years of relevant experience in accounting or finance roles. Familiarity with accounting software such as IFS, Just system, or similar systems. Strong understanding of AR/AP processes, bank reconciliation, and financial reporting. Experience in preparing journal vouchers, sales margin reports, and managing monthly accounts closing. Knowledge of GST preparation and submission. Proficiency in Microsoft Excel and other office applications. Good attention to detail and strong organizational skills. Ability to work efficiently under tight deadlines and manage multiple tasks. Strong communication skills and ability to collaborate with team members and external parties. Experience in handling payments in multiple currencies (USD, SGD, Euro) is a plus. Able to support audit activities and communicate with suppliers and customers for balance confirmations.
