Description

This role, reporting to the Director of Finance and Business Support, is responsible for managing the organization's credit policies and procedures. The primary objective is to maximize profitability by minimizing bad debt and optimizing working capital through effective credit and collection management.

Responsibilities and Duties

* Perform daily reviews of the city ledger to ensure accurate posting of charges and take corrective actions as necessary. * Ensure prompt processing of city ledger billing, payment postings, and monthly statement distribution, as well as reconciliation of all accounts receivable balances (including credit card and payment method accounts). * Monitor and actively pursue the collection of overdue accounts. * Conduct monthly reviews of the bad debt listing to prepare a collectability analysis for the monthly provision for doubtful debts. * Respond to and resolve account inquiries in collaboration with the accounts receivable department. * Assist in controlling and collecting outstanding guest and city ledger accounts. * Prepare management reports for month-end analysis and provide supporting documentation for credit meetings. * Review provisions, write-offs, and other necessary adjustments before each month-end closing. * Conduct monthly credit meetings with relevant team members, highlighting monthly performance, bad debts, outstanding staff accounts, discussing any problematic accounts, and outlining follow-up actions. * Contribute to maintaining and preparing accurate and timely financial and operating information, with a focus on the Aged Trial Balance of Accounts Receivable. * Collaborate with the supervisor on the preparation and management of departmental financial reports. * Maintain open communication with the Director of Finance and Business Support on all matters relating to credit and collection of guest and city ledger accounts. * Interact, coordinate, and communicate effectively with guests and other departments regarding credit issuance, follow-up on outstanding accounts, and assistance with credit-related needs. * Work closely with the City Ledger Supervisor to review and maintain the Aged Trial Balance of Accounts Receivable. * Collaborate with the supervisor on manpower planning and management needs for the department. * Monitor special billing arrangements for groups and conventions to ensure accurate postings aligned with customer agreements. * Establish and maintain appropriate record-keeping and issuance procedures. * Ensure adherence to the organization's established credit policy. * Assist in maintaining secure storage and access for all contracts, leases, and other financial records. * Maintain professional and technical competence through continuous learning and development. * Assist in implementing and maintaining sound accounting practices and procedures in accordance with organizational policies, generally accepted accounting principles, and local regulations. * Demonstrate awareness of and adhere to occupational health and safety (OH&S) policies and procedures, ensuring all tasks are performed safely and within OH&S guidelines, and ensuring direct reports do the same. * Maintain awareness of duty of care and adhere to relevant occupational health and safety legislation, policies, and procedures. * Be familiar with property safety, first aid, and fire and emergency procedures and enforce these within assigned areas. * Take appropriate action to address hazardous situations and notify supervisors of any potential dangers. * Ensure that security incidents and accidents are properly documented, investigated, and addressed to prevent future occurrences.

Qualifications and Requirements

* Bachelor’s degree or Diploma in Accounting, Finance, or a related field, combined with three years of experience in hotel accounting or auditing, or an equivalent combination of education and relevant experience. * Demonstrated ability to interact effectively with customers, colleagues, and external parties, representing the organization and its brand professionally. * Proficiency in Microsoft Office Suite applications. * Strong problem-solving, analytical, reasoning, motivational, organizational, and training skills. * Effective written communication skills. * Ability to quickly and accurately assess the feasibility of implementing proposed innovations and stay abreast of current industry trends and advancements. * A comprehensive understanding and appreciation of brand standards. * A proactive and inquisitive mindset with an understanding of innovation and guest experience, as well as the challenges inherent in implementing successful change within a service-oriented environment. * Excellent analytical and interpersonal communication skills, with the ability to network effectively and influence peers and senior management with well-supported and persuasive arguments. * Ability to be assertive while maintaining diplomacy and effectively collaborate across all levels of the organization. * A practical and realistic approach when applying strategic solutions. * High level of competence and credibility in influencing colleagues across different functions. * Strong personal drive, self-starter qualities, and the ability to work independently without constant direct supervision. * Ability to apply creative methodologies and thinking to assigned tasks. * Excellent communication skills, both written and verbal, demonstrating articulation, persuasiveness, influence, a systematic approach, and timeliness.
