Description

We are seeking a highly motivated and organized individual to join our team as an Office & Facilities Manager. In this role, you will play a crucial part in ensuring the smooth and efficient operation of our office environment. You will be responsible for managing all aspects of office administration, from facilities management and procurement to budget planning and contract management.

Responsibilities and Duties

* Plan and propose the annual operating budget for office expenses. * Manage contracts for office leases, supplies, equipment, and services, ensuring timely renewals and adherence to contractual obligations. * Monitor the utilization of supplies and services to ensure cost-effectiveness. * Prepare ITQ/Tender specifications, source quotations from vendors, and evaluate proposals to select the most suitable vendors. * Submit recommendations for vendor appointments for the purchase of products or services. * Manage vendor relationships to ensure timely delivery of goods and services according to agreed-upon terms. * Continuously review and develop new processes to improve the efficiency of administrative support for internal and external stakeholders. * Manage and maintain office assets, including equipment and furniture, across all office locations. * Ensure a well-maintained and conducive working environment for all staff. * Ensure compliance with workplace safety and health regulations. * Develop and implement emergency preparedness plans for all office locations. * Review and implement the organization's Business Continuity Plans. * Perform other general administrative duties as required.

Qualifications and Requirements

* Prior work experience in office administration and procurement. * Experience in lease administration, business continuity planning, and/or facility management is a significant advantage. * Excellent organizational and prioritization skills with the ability to manage multiple deadlines and maintain accurate records. * Strong project management skills with the ability to plan, execute, and monitor projects effectively. * Possess strong written and oral communication skills to effectively engage and communicate with various stakeholders. * High degree of professionalism, strong teamwork skills, and a positive attitude. * Meticulous attention to detail and accuracy in all tasks. * Willingness to take on new roles and adapt to changing priorities. * Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).
